JOB PURPOSE:
Responsible to provide assistance to the business head and all other divisions/departments within the group on administrative matters. Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.
PRINCIPAL ACCOUNTABILITIES:
- Correspondence with internal business divisions/departments on behalf of business head executive to follow up on various projects (where appropriate).
- Receive and screen phone calls and redirect them accordingly. Relay telephone messages where required.
- Handle and prioritize all outgoing and/or incoming correspondence (e-mail, letters, packages etc.).Ensure confidentiality of all documents received and they are delivered to the right person in a timely manner.
- Prepare agendas and make arrangements for various meetings and record Minutes of Meeting (MOM) as and when required.
- Periodic reporting on administrative matters to regional and circle level.
- Manage travel arrangements (such as but not limited to) e-ticket, visa, and hotel booking.Prepare itineraries; prepare, compile and maintain travel vouchers and records.
- Manage and plan monthly, weekly calendar of appointments. Create and implement new administrative procedures as and when required.
- Arrange meetings through video/audio with relevant personnel.
- Greet visitors and determine whether they should be given access to specific individuals.
KNOWLEDGE AND EXPERIENCE:
- Graduate/Masters with related discipline from recognized College/ University.
- Excellent communication and interpersonal skills.
- Multi-tasking with an ability to work under pressure.
